1. Booking & Confirmation

All retreat bookings are subject to application approval.

A booking is confirmed only once:

• A written acceptance has been issued by FlourishWell Retreats
• The required 20% non-refundable deposit has been received

Submitting an application does not guarantee a place.

The remaining balance must be paid in full at least 60 days prior to the retreat start date, unless a formal instalment agreement is in place.

Failure to meet payment deadlines may result in cancellation of the booking and forfeiture of payments made.

2. Payment Options

Participants may choose:

• Full payment by the stated deadline
• Klarna instalment plan (subject to Klarna approval)
• A structured payment plan agreed directly with FlourishWell

All payment plans must be completed 60 days before the retreat start date.

3. Participant Cancellation Policy

The 20% deposit is non-refundable.

If a participant cancels:

• Within 30 days of deposit payment – any additional payments beyond the deposit will be refunded in full.
• More than 30 days after deposit payment and more than 60 days before retreat start – 50% of payments beyond the deposit may be refunded.
• 60 days or less before the retreat start date – no refunds will be issued.

Refund eligibility may depend on whether the space can be filled.

Travel insurance is strongly advised.

4. Retreat Cancellation by FlourishWell

FlourishWell Retreats reserves the right to cancel the retreat due to unforeseen circumstances, including but not limited to:

• Natural disasters
• Government restrictions
• Pandemics or public health emergencies
• Travel bans
• Political instability

In such cases, payments made to FlourishWell will be refunded, excluding non-recoverable third-party costs where applicable.

FlourishWell is not responsible for flights or external travel arrangements.

The itinerary or accommodation may be modified if necessary, while maintaining overall retreat integrity.

5. Travel & Insurance

Participants are responsible for:

• Flights
• Passports and visas
• Travel insurance
• Medical coverage

Airport transfers are included only within the designated arrival and departure windows. Guests arriving outside these times must arrange their own transport.

FlourishWell Retreats is not responsible for travel disruptions.

6. Health & Participation

Participants confirm they are physically and mentally fit to participate in retreat activities.

The retreat is not a substitute for therapy, psychiatric care, or medical treatment.

Participation in yoga, ice baths, excursions, and other physical activities is voluntary and undertaken at the participant’s own risk.

All medical conditions must be disclosed in advance.

FlourishWell cannot guarantee a nut-free or gluten-free kitchen due to cross-contamination risk.

7. Behaviour & Removal

Participants are expected to behave respectfully toward facilitators, staff, and fellow attendees.

FlourishWell reserves the right to remove any participant whose behaviour is unsafe, disruptive, or inappropriate.

No refund will be issued in cases of removal due to misconduct.

8. Media & Photography

Photography and video may be captured during the retreat for promotional purposes.

Participants may opt out in writing prior to the retreat.

9. Liability

Participants attend at their own risk.

FlourishWell Retreats is not liable for:

• Personal injury
• Illness
• Loss or theft of belongings
• Travel disruptions
• Decisions made by participants during or after the retreat

10. Data Protection

Personal information will be handled in accordance with UK data protection laws and used solely for retreat administration and communication.

11. Governing Law

These terms are governed by the laws of England and Wales.

Any disputes shall be subject to UK jurisdiction.
